Expense management for consultancies and agencies | Mylo

The expense you forgot to rebill.

Consultancies, agencies, law firms and IT shops leak money in two directions. Billable client costs never make it onto the invoice because the receipt was in someone’s inbox. And software renews quietly across a dozen accounts nobody has a list of. Mylo captures receipts where they actually land, gathers a client trip into one report, and lets you ask what you are paying for in plain English.

How it works

Capture, then recover.

The billable expense problem is a capture problem. Once the receipt exists as structured data with a card charge behind it, rebilling and renewal review are easy.

  1. Step 1

    Connect the inboxes

Read-only access to Gmail, Outlook, iCloud and Yahoo. Mylo finds the receipts and invoices already sitting there and reads them.

  2. Step 2

    Connect the vendor logins

For services that keep proper invoices behind a login, Mylo fetches the itemized document rather than settling for a card line.

  3. Step 3

    Travel gets grouped

A client trip is detected and its spend is gathered into a draft report, ready to submit and rebill.

  4. Step 4

    Approve and sync

Approvals run with comments, then approved expenses sync to QuickBooks with category, tax and receipt attached.

A rebillable expense you cannot find is a discount you did not agree to.

Why it matters

What a services firm recovers.

Rebillables stop leaking

Client costs are captured the day they happen, with a receipt attached, so they exist when the invoice goes out instead of after it.

Find the subscription sprawl

Ask what you are paying for Adobe across the firm, or what renewed last month, and Mylo answers off your own transactions and receipts.

Approvals with a paper trail

Reports are submitted, approved or denied with comments attached, so the reason a line was questioned is recorded rather than remembered.

Ask from Claude or ChatGPT

A read-only connector lets Claude, ChatGPT and Gemini answer questions about your spend without giving them the ability to change anything.

Where receipts really are

Your inbox is already the receipt archive

Nobody photographs the Uber to the client site, because the receipt was emailed thirty seconds after the ride. Mylo reads Gmail, Outlook, iCloud and Yahoo with read-only access and pulls out the receipts and invoices, then reads the merchant, date, total and tax off each one.

  • Read-only inbox capture across Gmail, Outlook, iCloud and Yahoo
  • Connected service logins fetch itemized receipts from accounts like Adobe, Amazon and Uber
  • Each receipt matched to the card charge that settled it

Client work

A trip to the client site becomes one report

Travel mode notices a trip and gathers the spend from it into a draft expense report. The 6am airport Uber, the hotel, the two dinners and the return flight arrive together instead of being reassembled from a card statement a fortnight later. Submit it, and approvals run with comments so a partner can ask a question rather than reject a line silently.

  • Travel mode detects the trip and drafts the report
  • Submission, approval with comments, and denial with a reason
  • Bulk mode clears a backlog of receipts in one pass

FAQ

Questions, answered.

How does Mylo catch billable client expenses?

It captures receipts from the inbox they were emailed to, from connected vendor logins, and from photos scanned or texted in. The expense exists with a receipt attached the day it happens, so it is there when you rebill.

Can Mylo help with software subscriptions across the firm?

Yes. Receipts and invoices from software vendors are captured from email and from connected logins, then matched to the card charges. You can ask in plain English what a given vendor is costing you.

What does travel mode do for client site visits?

It detects a trip and gathers the spend from that window into a draft expense report, so the flights, hotel, rides and meals arrive together instead of being pieced back together from a statement.

Does Mylo read my whole inbox?

Access is read-only and Mylo is looking for receipts and invoices. It cannot send, delete or modify anything in the mailbox.

Can partners approve expenses with a comment?

Yes. Reports are submitted for approval, and an approver can approve, deny or leave comments on the report, so the reasoning stays attached to the record.

Can I query expenses from Claude or ChatGPT?

Yes. Mylo offers a read-only connector for Claude, ChatGPT and Gemini, so you can ask questions about your spend in the assistant you already use. It can read, not change.
